Office Manager
Reports to: Vice President of Operations, Enactus George Brown
Location: George Brown College, St. James Campus
Length of Position: Two semesters, Renewable
Role Overview:
The Office Manager oversees the administrative work processes at Enactus George Brown. Support executive team with staying up to date on all current deadlines; understanding each project and required documents to keep records of; accommodate the role of the team gatekeeper.
Key Responsibilities:
The Office Manager performs a range of duties including some or all of the following:
- Write down a summary of meetings (Executive, Presentation team, Project, etc.), as well as keep track of attendance
- Learn about all Enactus George Brown projects and meet with each Project Manager to understand currently running activities
- Keep up to date Enactus calendar events and deadlines and share them accordingly with the team and VP/President
- Manage the members list in the Enactus Canada database
- Keep records of volunteer hours of each member and log them in the Enactus Canada website
- Prepare and send meeting’s agenda to the team to announce the main points for discussion
- Regularly check Enactus email and give replies to general inquiries; in case of not possessing the required information, forward the inquiry to the relevant team member
- Create a monthly newsletter using MailChimp with all upcoming events or meetings, current opportunities in Enactus, and other partnership events coming into an email
- Ensure that all the important papers and e-files are in the right place
- Order business cards from Vistaprint when VP/ President assigns to do so
- Send weekly reminders to the team about agendas and deadlines regarding Regional, National competitions
- Organize travelling/meals/room bookings during competition season
- Update events notifications in WhatsApp, MS Teams, and email channel
- Perform such other duties and responsibilities as assigned by Vice President and President
Required Knowledge & Skills
The Office Manager must be a George Brown College Student with a:
- Desire to make a positive impact, and demonstrate entrepreneurial spirit on other students and various demographics in need
- Excellent interpersonal and supervisory skills, as well as the ability to build strong working relationships with a wide variety of internal and external stakeholders
- Self-starter willing to take-on challenges with a strong work ethic and positive attitude
- Strong organizational skills and attention to detail to research, and excellent planning, time management, and prioritization skills
- Proficient in Microsoft Applications such as Word, Excel and PowerPoint and Project and Google Drive
- Sound judgment, professionalism and communications skills are necessary, as is the ability to work to strict deadlines.
- Knowledge or experience in working in accounting or finance field, or enrollment in a related program, is an asset
Working Conditions:
- The Office Manager, depending on the project and event scheduled, may be required to work 15-20 hours a week.
- Enactus George Brown offers the office for use, if needed, but depending on the purpose of the project and location of the event, it may take them to non-standard workplaces.
